Excel and spreadsheet help for the file your business runs on

BamXo is an AI and automation consultancy based in Davis, California that helps small organizations with the spreadsheet that has quietly become their system. Sometimes the right answer is to fix three formulas. Sometimes it is to turn the file into a real database or web app, with your records moved in and your team using it.

Who it is for

  • A file called FINAL_v3 (2) that nobody dares rename.
  • A tab everyone knows not to touch.
  • One person who understands how the formulas work, and nobody can find the numbers when they are out.
  • Member lists, bookings, invoices or volunteer shifts in one shared sheet that several people edit at once.
  • Questions for the owner piling up in a shared sheet that nobody answers.

What we do

  • Work out what the spreadsheet really does, including the jobs nobody wrote down.
  • Fix the formulas, lookups and duplicate rows when keeping the spreadsheet is the right call.
  • Turn it into a database with one record per member, booking or invoice, so nothing is typed twice.
  • Build a simple web app on top, with a form for each job and a private link for each person who needs one.
  • Move every row in and check it against the original before anyone stops using the file.
  • Connect it to the tools around it, such as QuickBooks, your website forms and email.

Real examples

At Velocity Island Park, open questions for the owner lived in a shared Google Sheet. They now go through a case board, where the one person with the answers replies from a private link on a phone. Every figure is sourced.

Questions

How much does it cost to hire an Excel expert?

With us, start with a $500 Starting Session: 90 minutes working on the file with you, one problem fixed live, and a written plan with prices. A Build Day, $1,500, is a full day building the first move from that plan. Replacing the file with a whole system, with your records moved in and the team using it, is a Systems Build from $12,000. Both are quoted in writing first.

When should a spreadsheet become a database?

When several people edit the same file, when rows get duplicated, or when one person is the only one who understands it. A database keeps one record per thing and stops two people overwriting each other. If none of that is true, keep the spreadsheet and fix it.

Can you turn an Excel file into a web app?

Yes. The columns become a database, the jobs people do become forms and views, and each person gets the access they need on a phone or a laptop. Your existing rows move in first.

Do you work with Google Sheets as well as Excel?

Yes, both, along with the exports from whatever other tools feed them.

Will we lose any data moving off the spreadsheet?

No. Every row is moved in and checked against the original, and the old file stays untouched until your team is happy with the new system.

What happened to the Spreadsheet Teardown?

It became the $500 Starting Session. We still go through the spreadsheet with you and send a written plan, and now one problem gets fixed live on the call as well.
