CRM consulting and setup your team will actually use

BamXo is an AI and automation consultancy based in Davis, California that sets up CRMs for small businesses, chambers and nonprofits. We get the CRM you already pay for working the way your team works, or build one that fits when nothing off the shelf does. Your records come with you, and your team is using it before we hand it back.

Who it is for

  • You pay for a CRM that half the team never logs into.
  • Leads, quotes and invoices live in three places, and nobody sees the whole picture.
  • Asking the group text who has paid is part of the weekly routine.
  • Your members, donors or clients do not fit a sales pipeline built for someone else's business.
  • You are moving off an old system and cannot lose years of history.

What we do

  • Write down how a customer actually moves from inquiry to paid, with the people who handle each step.
  • Set up the CRM you already have to match that, and switch off what nobody uses.
  • Move your records in from spreadsheets and old systems, with the history intact.
  • Connect the website form, calendar, invoicing and QuickBooks, so nothing gets typed twice.
  • Build a custom CRM when your work does not fit an off-the-shelf one, on your own domain and accounts.
  • Train the team on the tasks they do each week, not a tour of every feature.

Real examples

Two custom systems built around how each organization works: the operations platform our sister company runs on, and a chamber member platform that runs alongside MembershipWorks. Every figure is sourced.

  • Action Flipbooks

Davis, CA. Our sister company, a national event photo and video business.

    2,000+

events in one system, with inquiry dates back to 2016

    System
A custom operations platform: pipeline, quote to contract to invoice on one link, and a crew portal.
    Outcome
The company's system of record, with its full booking history imported and website leads landing in it directly.
  • Davis Chamber of Commerce

Davis, CA. Member platform and website for a local chamber of commerce, built as volunteer work.

    300+

staff requests handled through Chamber HQ's request board

    System
Chamber HQ for members, renewals, invoicing, card payments and events, a member portal, and a rebuilt davischamber.org.
    Outcome
Members paying online and switching on autopay themselves within two days, and festival vendor paperwork collected through the portal.

Questions

What does a CRM consultant do?

Works out how your team really handles a customer, member or client, then sets up a CRM to match: the fields, the pipeline stages, the reminders and the connections to your other tools. A good one also moves your old records in and makes sure people use it after launch.

How much does CRM implementation cost for a small business?

Start with a $500 Starting Session and a written plan with prices. Getting a half-adopted CRM working, or moving off it with every record intact, is a Rescue at $4,500. A custom system with your records moved in is a Systems Build, from $12,000.

Should we buy a CRM or build a custom one?

Buy when your work looks like the pipeline the CRM was designed for. Build when your team keeps bending the tool around how it really works, or pays for features nobody uses. The written plan from the Starting Session says which, with a price for each option.

Can you move our data out of our old system?

Yes. Records and history are moved across and checked against the original before anything is switched off. When we built the operations platform for Action Flipbooks, its full booking history came with it, more than 2,000 events back to 2016.

Do you work with chambers of commerce and nonprofits?

Yes. Members, renewals, sponsors and volunteers need different records from a sales pipeline. Chamber HQ, which we built for the Davis Chamber of Commerce, handles members, renewals, invoicing and events, and runs alongside MembershipWorks.

Will our team actually use it?

It is set up around the tasks your people do every week, they try it on real work before launch, and anything they trip over gets fixed.
